Office Administrator

Are you our new Team Assistant in Berlin?

Do you enjoy creating structure, keeping things moving and being the person people can rely on? We are looking for a proactive and service-minded Office administrator to support our Berlin office and the existing Business Development team. You will contribute to smooth daily operations across office administration, business development and operational support.

In this varied role, you will be an important point of contact for colleagues, customers, partners and external service providers. You will work closely with the Hamburg office and collaborate with international stakeholders, particularly within the Norwegian organization. This is a great opportunity for someone who likes combining hands-on office coordination with broader business support in an international technology company.

Your main responsibilities

  • Manage the day-to-day administration and organization of the Berlin office, ensuring efficient and professional operations in close collaboration with the Hamburg office.
  • Act as the primary contact for office-related matters and coordinate with external service providers.
  • Handle incoming correspondence, including document digitization, filing and distribution.
  • Coordinate office supplies, purchasing activities and administrative processes.
  • Provide general administrative and operational support across the organization.
  • Support the Business Development team with administrative and organizational tasks.
  • Plan and coordinate customer events, trade shows, conferences and company events.
  • Assist in the execution of marketing campaigns and communication activities.
  • Maintain and update presentations, corporate documents and sales materials.
  • Support CRM processes and help maintain accurate customer data.
  • Collaborate with international colleagues and stakeholders across KONGSBERG.
  • Completed commercial/vocational training or a degree in a relevant field; equivalent professional experience will also be considered.
  • Several years of experience in an assistant, office management, or comparable administrative role.
  • Strong proficiency in Microsoft 365 and modern digital collaboration tools.
  • Excellent German and English communication skills, both written and spoken.
  • Experience working in an international business environment is advantageous.
  • Knowledge of defense, security, public procurement, or government-related environments is considered a plus.
  • Proactive, self-driven, and solution-oriented mindset.
  • Excellent organizational skills and a strong customer-service attitude.
  • Ability to manage multiple priorities and work effectively in a dynamic environment.
  • Strong interpersonal and communication skills with stakeholders at all levels.
  • Hands-on approach and willingness to take ownership of tasks.
  • Ability to build trusted relationships with internal and external partners.
  • Understanding of international organizational structures and business processes.

You have
