Receptionist cum Admin Assistant

Overview· To assist in reception and administrative duties Responsibilities· To perform full range of receptionist duties including screening incoming calls and taking messages· Provide administrative support such as Covid-19 related matters, printing of Gangway and Confined Space passes and filing of documents· Handle incoming and outgoing calls, transfer calls to various departments if necessary· Mails:   - Daily collection and dissemination of incoming mails   - Bi-weekly franking of outgoing mails· Monthly stock-taking and ordering of stationery and F&B· Contact vendors/supplier for tea or vending machine maintenance· Respond to telephone, email, walk-in and vendors delivering fruits or supplies· Ordering of business cards, flowers, vouchers, calendars etc.· Assist in coordinating of meetings and order catering· Accommodation bookings for delegates/employees· Managing letters, documents and forwarding invoices to finance department· Telecommunication matters (including bi-annual review)· Travel management ((including annual review)· Car Rental matters· Assist with company activities when applicable· Any other general adhoc administrative duties; depending on capacity, may be required to assist HR related matters Requirements· Minimum GCE N· Preferably with at least 2 years of working experience and qualifications· Computer literate and proficient in Microsoft office· People-oriented team player with good interpersonal and communication skills· Positive thinker who is independent, adaptable to New Norm, open to constructive feedback, with good attitude· Self-driven, meticulous, analytical, able to work under pressure in a fast pace environment· Multi-tasking, resourceful, and proactive with sense of urgency to meet tight deadlines· Pay package will be commensurate with experience· Prefer candidates who can start within short notice or immediately Only shortlisted candidates will be notified for interview.
